Keoterm

Run the
whole shop
from one screen.

Quoting, jobs, scheduling, invoices, timesheets, staff files, safety and compliance — thirty-two screens, one login. Built for manufacturing businesses still running on spreadsheets, a whiteboard and a filing cabinet.

No card · Seven days · Training hub included

The quote is in a spreadsheet.
The job is on a whiteboard.
The certificate is in a filing cabinet.

And the only person who knows where any of it is has just gone on leave. Every shop this size runs on eleven systems that don't talk to each other, and one person holding it together in their head.

What's in it

Thirty-two screens.
Seven groups.
One login.

This is the actual navigation tree, in the order the software puts it. Everything a job passes through from enquiry to paid invoice — and everything the business needs to prove it happened properly.

The software itself

Not a mock-up.
This is the screen.

Lifted straight out of the working build. The shop below — Meridian Precision Engineering — is invented, and so is every client, job, invoice and person in it. That's the same demo data you get on the free trial, so you can click the real thing rather than take our word for it.

The part nobody else does

Your documents.
Our version control.

Every shop system on the market manages the jobs. Almost none of them hold the paperwork — and the paperwork is what an auditor asks for, what your biggest customer demands, and what takes a fortnight to assemble when someone finally does.

01

What Keoterm does

Holds every controlled document with a version number, a review date and a full history. Issues contracts and position descriptions to each person's portal, captures the signature, records who signed which version and when. Tracks the new-starter pack item by item. Prints, and exports to Word.

02

What stays yours

The documents themselves. You upload your own contract, your own position descriptions, your own policies — or start from a template and edit it until it's yours. We are not a law firm and not an HR provider. Your lawyer or industry associationattorney, PEO or HR provider stays exactly where they are.

03

The filing system

118+ folders with a README in each explaining what belongs there, and 19 policy documents in Word, numbered to match the register in the terminal. Included in your terminal on day one. Edit one and it's your document from that moment.

04

The safety suite

Toolbox talks, incident reports, workshop inspections and plant risk assessments. Filled in on the floor, filed against the register, findable in one search — instead of on a clipboard in the corner.

05

Expiry, before it bites

Insurances, test-and-tag, crane and lifting gear, licences and tickets — all carrying an expiry date that puts itself in front of you weeks out, not the morning the auditor arrives.

06

Why it pays for itself

If you're chasing ISO 9001ISO 9001 or AS9100, or you have one of those customers who raises a corrective action every six months, this is the part that covers the whole cost of the year.

Before you get too far in

Things this
deliberately doesn't do.

You've been sold software before. This is the list you normally have to drag out of someone on the third call.

Seven days free

Have a proper look
before you talk to anyone.

Fill this in and you get access to the demo terminal — a whole shop's worth of jobs, quotes, invoices, staff and compliance records already in it — plus the training hub that walks your office through it module by module.

  1. Fill in the formFive fields about your shop. It takes under a minute and there's no card.
  2. You get a link and a codeStraight to your inbox. Sign in and the terminal is already populated.
  3. Seven days, the whole thingEvery module unlocked, plus the training hub. Nobody rings you during it.
  4. Then you decideIf it's not for you, do nothing and it lapses. If it is, we book a 40-minute discovery call, and that call is what gets your own one built.

Start your 7 days

No card. No sales call during the trial. One email at the end.

We use this to build your trial terminal and to email you the link. Nothing else, and nobody else gets it. Unsubscribe from any email in one click.

If you decide to go ahead

Live in a week.
Not six months.

Most systems this size quote you a three-month implementation. Here's the actual schedule, and the only thing it needs from you is one phone call and about an hour of your own details.

  1. Your details, on your phoneWe send a link and a four-digit code. You fill in your business, your machines, your team and your rates in your own time — not on a call with someone typing while you talk.
  2. Your terminal is builtThe whole build is generated from the details you gave us — your terminal, your login page, your runbook and your data-entry guide. Nothing for you to do, and our support team works with you from there on getting your data across.
  3. Your data goes inClients, materials, suppliers, open jobs. We work down a printed list together, in the order the terminal wants them.
  4. Your team is shown howHalf an hour for the office, ten minutes for the floor, and the training hub stays there for whoever starts next year.
  5. One real job, end to endQuote it, have the client approve it in their portal, invoice it. When that works, you're live.
  6. And then it keeps improvingOne build goes to every shop. Every shop's request makes everyone's terminal better, and you choose when each update goes in.

Pricing

you shouldn't have to
book a call to find out.

Yearly, or monthly if you'd rather keep it open-ended. No per-seat charges, ever — everyone in the shop uses it or the data is wrong. Prices exclude GSTapplicable sales tax.

SetupQuoted after the call, once we know what has to come across — how many open jobs, how many clients, how much of your paperwork you want loaded. It's the one number that depends on your shop, so we won't publish a figure that's wrong for you.
Monthly or yearlyMonthly cancels any time — no notice, no penalty, no exit interview. Yearly works out cheaper and is fixed for twelve months. Start on whichever suits you and move across whenever you like.
Your records, on the way outThirty days' notice in writing, on any plan, and you get a full export of everything you put in — every job, client, quote, invoice, timesheet, document and file. You can also export the lot to CSV yourself, any time, without asking us. The software is licensed, not sold, so it stays with us. Your records never do.

Questions

The things
people actually ask.

If the one you want isn't here, it's because nobody has asked it yet. Ring and ask — the answer will be the same on the phone as it is on this page.

What exactly do I get in the seven days?

Your own copy of the training terminal, populated with a fictitious shop's worth of real-looking work — jobs across all nine stages, quotes, invoices, timesheets, staff records, compliance documents. Plus the training hub that walks through it module by module. Every screen is unlocked. No card, and nobody rings you during it.

Does this replace my accounting software?

No, and it shouldn't. Keoterm exports to it and your bookkeeper carries on exactly as they are. What it replaces is the eleven other places a job currently lives.

Do you write our policies and contracts for us?

No. We're not a law firm and not an HR provider. You upload your own documents — or start from a template and edit it until it's yours — and Keoterm holds them under version control, issues them, captures signatures and proves who agreed to what. Your lawyer or industry associationattorney, PEO or HR provider stays where they are. If you ask us to write you a policy, the answer is no and a referral.

Do I pay per user?

Never. Per-seat pricing makes shops ration logins, and a system half the shop can't reach holds data that's half wrong. The price is the price whether four people use it or twenty-four.

Does it work on the shop floor, on a tablet?

It runs in the browser on any tablet, so yes — but it needs a working connection, and it is not an app you install from a store or pin to the home screen. If the wifi doesn't reach the back of the shop, fix the wifi first; a mesh access point is cheaper than any part of this. The one thing that does install on a phone is the Keoterm Authenticator, which is how people sign in.

Can it handle DISP or defenceITAR, EAR or CMMC requirements?

Talk to us before you commit either way. What we can tell you plainly: your storage is isolated from every other customer, access is logged, support sessions announce themselves and can't be hidden, and we'll put the data region in writing. Whether that satisfies your specific obligation is a question for you and your DISPcompliance adviser, and we'd rather say so than nod along.

What's the Growth module, and do I need it?

Probably not, and it's off unless you licence it. It puts prospects and a sales pipeline on the same board as your jobs, gives you a daily outreach sheet, and runs marketing work as jobs so you can see what it cost. It's for the shop where the owner is quoting at night and chasing new work at the weekend. If that isn't you, leave it off.

What if I already have an ERP?

Then you probably don't need this, and we'll tell you so. The exception is if it manages the jobs but not the documents — the certificates, the policies, the contracts, the safety records. That's the gap Keoterm was built for.
